Given the nature of our consulting work with C-suite executives, all operational, personal, and strategic data collected during engagements is subject to strict non-disclosure agreements (NDAs). We do not share, sell, or rent client diagnostic data to any third parties.

5. Third-Party Providers

Executives don't have bandwidth for a sprawling vendor list, and neither do we. We work with a deliberately small set of scheduling, email, and analytics providers to run this website and manage engagement logistics. Each is contractually restricted to processing your data solely to perform that function — none may repurpose it for their own product development or advertising.

6. Retention

Diagnostic Data collected during an Executive Productivity Audit is retained for the length of the engagement plus 12 months, so that follow-up coaching sessions can reference your original baseline without re-running the full diagnostic. After that window, raw diagnostic inputs are purged; only summary metrics needed for our own service-quality review are kept. Newsletter and inquiry-form data is retained until you unsubscribe or request deletion.

7. Your Rights

You may request access to, correction of, or deletion of the personal information we hold about you by emailing privacy@kelpcorevault.com. We will confirm receipt within five business days and complete verified requests within 30 days, consistent with the standard we'd expect our own vendors to hold themselves to.

8. International Handling

Kelp Core Vault is based in Yamato, Kanagawa, Japan. Where a client engagement involves executives or teams located outside Japan, diagnostic and calendar data may be processed by the vendors described in Section 5 under the same contractual safeguards, regardless of where those vendors' infrastructure is located.

9. Changes to This Policy

We review this policy annually and whenever our tooling changes materially. Updates will be posted here with a revised Effective Date; continued use of our services after a change constitutes acceptance of the revision.

10. Legal Basis for Processing

Where applicable law requires it, we rely on legitimate interest to respond to an inquiry you initiate, and on contractual necessity once an engagement is confirmed. The Kelp Core Vault Briefing newsletter is sent only to those who opt in, and you can unsubscribe at any point via the link in every issue.

11. Automated Decisions

The Executive Productivity Audit surfaces patterns in the data you provide, but no automated system makes a coaching recommendation on your behalf without a human coach reviewing the diagnostic first.
